This policy explains what personal data Callivox collects, why we collect it, where it is stored, and what rights you have over it.

1. Who we are

Callivox is a product of Hamwi Computer Software L.L.C, trading as HA Consultancy, Office 1151, Ibn Battuta Gate Tower, Sheikh Zayed Road, Dubai, United Arab Emirates. In this policy, “we” and “us” refer to that company.

2. What we collect

Enquiries. The name, company, phone or WhatsApp number and email address you submit through our contact form, together with any message you send us.

Service data. When you use Callivox, our AI handles conversations on your behalf. This can include your customers’ phone numbers, names, messages, and call recordings or transcripts. You remain the controller of that data and we process it on your instructions.

Technical data. Standard server logs, including IP address, browser type and pages visited.

3. Why we use it

To reply to your enquiry and prepare a quotation; to deliver, support and improve the service; and to meet our legal, tax and accounting obligations in the UAE. We do not sell personal data. We do not use your customers’ conversations to train third-party models without your written agreement.

4. Where your data is stored

Callivox is operated from the United Arab Emirates and production data is hosted in the UAE. Local deployment in the Kingdom of Saudi Arabia is available for customers who require in-country residency. Where a subprocessor operates outside these locations, we put appropriate transfer safeguards in place.

5. Subprocessors

We use third parties to deliver parts of the service, including cloud hosting, telephony carriers, and messaging platforms such as WhatsApp Business from Meta. They process data only as needed to deliver the service. A current list is available on request.

Card payments are processed by Tap Payments. Your card details are entered on the payment provider’s page and transmitted directly to Tap; they never reach Callivox servers. Tap is certified to PCI DSS Level 1. We receive only the payment outcome and a transaction reference for reconciliation.

6. How long we keep it

Enquiry data is kept for up to 24 months from your last contact with us, unless you ask us to delete it sooner. Service data is kept for the life of your subscription and up to 90 days after termination, after which it is deleted or irreversibly anonymised. Accounting records, including billing and payment records, are retained for the period required by UAE law.

7. Your rights

Subject to UAE Federal Decree-Law No. 45 of 2021 on Personal Data Protection, and to the GDPR where it applies, you may request access to your personal data, correction, deletion, restriction of processing, or a copy in a portable format. You may withdraw consent at any time. To exercise any of these rights, contact privacy@callivox.com. We respond within 30 days.

8. Security

We apply administrative and technical controls appropriate to the sensitivity of the data, including encryption in transit, access control and audit logging. Callivox is built by an ISO/IEC 27001-certified company. Certificate details available on request.

9. Cookies

The website uses cookies that are strictly necessary to operate it. If we add analytics or advertising cookies, we will ask for your consent first and update this policy.

10. Changes

We may update this policy. Material changes will be posted on this page with a revised date.
