Refund & Cancellation Policy

This policy explains how Callivox subscriptions are billed, how to cancel, and when refunds are available. It forms part of our Terms of Service.

1. Scope

This policy covers Callivox subscription plans sold by Hamwi Computer Software L.L.C, trading as HA Consultancy, Office 1151, Ibn Battuta Gate Tower, Sheikh Zayed Road, Dubai, United Arab Emirates. Prices are shown in UAE dirhams and exclude 5% VAT, which is added at checkout. WhatsApp and Meta conversation fees are set and billed by Meta and are not part of your Callivox subscription.

2. Free trial

Where a free trial is offered, no payment card is required to start it and no charge is made until you choose a paid plan. A trial is limited in duration and usage and may be changed or withdrawn.

3. Billing cycles

Paid plans are billed monthly or yearly in advance. Your subscription renews automatically at the start of each period, at the plan price then in effect, until you cancel it. Yearly billing is discounted as shown on the pricing page. AI credits and voice minutes are consumed as described there, and overage is charged at the published rate.

4. Cancellation

You can cancel at any time — either yourself in your account at hub.callivox.com, or by emailing hello@callivox.com or messaging us on WhatsApp. We action cancellation requests within two business days of receiving them.

Cancellation takes effect at the end of your current billing period. Your plan stays active until then and you are not charged again. After cancellation your data is handled as described in our privacy policy.

5. Refunds

Once a billing period has started, the fees for that period are not refundable, except where a refund is required by law. Cancelling stops the next renewal — it does not refund the period you are currently in. This is why we offer a free trial with no card required, so you can test Callivox fully before you pay anything.

Where a refund is due — for example a duplicate charge, a billing error on our side, or a case where the law requires one — we issue it to the original payment method through our payment provider. Once we release a refund it usually reaches your account within 5–10 business days, depending on your bank.

6. Upgrades and downgrades

If you upgrade mid-period, the change takes effect immediately and we charge a prorated amount for the remainder of the period. If you downgrade, the change takes effect at your next renewal, so you keep the plan you have already paid for until then.

7. Failed payments

If a renewal payment fails, we retry it over the following days and email you about it. If payment is still not received, we may suspend the service and then downgrade or close the subscription. You can restore service by updating your card and settling the outstanding amount.

8. How the charge appears

Card payments are processed by Tap Payments. Callivox does not store your card details. Charges appear on your card statement as HAMWI COMP SW.

9. Billing questions and disputes

If a charge looks wrong, please contact us first — we can usually resolve it faster than a card dispute, and raising a chargeback before contacting us can suspend your service while your bank investigates. 10. Changes

We may update this policy. Material changes will be posted on this page with a revised date and, for existing customers, notified by email.
